Collaboration and Portals

Open the catalog to partners. Keep control of the record.

Three portals on one platform: a Supplier Onboarding Portal for inbound product data, a Brand Portal for brand-managed content and assets, and a Catalog Self-Service Partner Portal for outbound distribution. One governed record sits between them.

Three portal experiences

Supplier onboarding, brand collaboration and partner self-service

Three distinct portals on one platform. Data flows in from suppliers and brands, is governed once, and flows out to partners. Select a portal to see what it does.

External contributor permissions

Every partner role, scoped

Functional areas

Two directions, one control plane

Supplier onboarding

Invite suppliers, assign them product families and templates, and let them maintain their own items under validation. New-supplier setup becomes a repeatable process instead of a spreadsheet exchange.

Brand collaboration

Brands contribute approved copy, imagery and translations. Claim policies and rights metadata are checked before anything is accepted.

Submissions and approvals

Every contribution is a staged submission with validation results, a responsible steward and a recorded decision: accept, return with comments or reject.

Partner portals and catalog self-service

Distributors, dealers and OEM partners browse, filter and download the catalog, assets and price lists they are entitled to, without email requests.

Controlled data distribution

Sharing scope is defined per partner by catalog, product set, field and price list, and only governed, channel-ready records are released.

Communication in context

Comments and fix requests attach to the record and field in question, so suppliers see exactly what to correct.

How it works

The working sequence

  1. Invite and scope

Assign each partner a role, product scope, templates and visible fields.

  2. Submit and pre-validate

Contributors upload or edit; rules run before submission so most issues are fixed at source.

  3. Review and accept

Stewards review staged changes; accepted values merge with the contributor recorded as source.

  4. Share and refresh

Partners receive their scoped catalog; updates flow automatically once governed.

Autonomy and its boundaries

Agents do the partner busywork. Stewards accept the data.

The slowest parts of supplier collaboration are mapping unfamiliar files and chasing corrections. Agents take on both, while acceptance and sharing scope stay with your team.

Autonomy improves

  • Map unfamiliar supplier columns to family templates
  • Pre-validate and explain failures in supplier-readable terms
  • Draft field-level fix requests to contributors
  • Detect when shared catalogs need a refresh

People hold authority

  • Stewards accept or return every staged submission
  • Partner scope and price visibility set by account owners
  • Agents cannot widen a partner's permissions
  • Restricted claims require brand or compliance approval

Evidence retained

  • Submission version and contributor identity
  • Validation results at submission time
  • Acceptance decision and approver
  • Record of what each partner received and when

Buyer questions

How do suppliers submit product data?

Suppliers use a portal with templates tied to your product families. They can upload files or edit records, and validation runs before submission so they fix most issues themselves.

Does supplier data go straight into our catalog?

No. Submissions are staged and validated, then reviewed under your governance policies. Nothing is accepted into governed records without passing rules and, where required, steward approval.

Can we control what each partner sees?

Partner access is designed to be scoped by catalog, product set, field and price list, so a distributor and a dealer can see different data from the same governed records.

How are external contributor permissions managed?

Roles define which attributes, categories and actions an external user can access. Agencies can be limited to copy fields; suppliers to their own items.

Can partners self-serve catalogs?

Partners can browse, filter and download their permitted catalog and assets. Supported delivery formats are subject to product confirmation.

Where does autonomy help in collaboration?

Agents map unfamiliar supplier files to your templates, pre-validate submissions and draft supplier-facing fix requests, so stewards review fewer, cleaner submissions.
