Collaboration & Portals

Supplier data that arrives ready, or tells you exactly why not.

Suppliers submit in their own format through a dedicated portal. Autonera maps, validates and routes exceptions to your reviewers, and only approved data enters the catalog.

The capability

A front door for supplier product data

The Supplier Onboarding Portal gives each supplier a controlled workspace to submit new items, updates and digital assets. Suppliers see their own items, the requirements that apply to them and the status of each submission, without access to your wider catalog.

Submissions do not go straight into product records. Autonera applies the supplier's saved column mapping, runs your validation rules and controlled vocabularies, and proposes corrections when the evidence supports one. Anything it cannot resolve becomes an exception with a clear reason.

Reviewers work from the exceptions, not the whole file. They accept corrections, return items to the supplier with a reason or approve the batch. Every decision is recorded, so you know which supplier provided each value and who approved it.

Problems it solves

Where this work usually breaks down

01

Supplier spreadsheets in every format

Each supplier uses its own templates and column names. Category teams spend days reformatting before data can even be checked.

02

Email back-and-forth

Questions about missing or unclear data are lost in inboxes, and nobody can see which items are waiting on whom.

03

Bad data reaches the catalog

Without validation at the door, missing units, unknown materials and incomplete compliance fields flow into channels.

04

No record of who supplied what

When a value is questioned, there is no trace back to the supplier submission or the person who accepted it.

Functional capabilities

What Supplier Onboarding Portal includes

Supplier workspaces and permissions
Invite suppliers into scoped workspaces with access limited to their own items, templates and requirements.
Flexible submission
Accept spreadsheets, files and assets in the supplier's format, with saved mappings per supplier.
Validation at intake
Apply required fields, controlled vocabularies, unit rules and category-specific requirements to every submission.
Proposed corrections
Suggest fixes where supporting evidence exists, such as a consistent unit across the supplier's other rows.
Exception review and return
Route only exceptions to reviewers, who accept corrections or return items to the supplier with reasons.
Batch and item approvals
Approve whole batches or individual items, with approval held while exceptions remain open.
Supplier status and scorecards
Show suppliers what is pending and give category teams a view of submission quality by supplier.

How it works

Take a supplier batch from submission to approval

Submit a batch, confirm the mapping, then review the exceptions. Approval stays locked until every exception is corrected or returned, and every action is recorded as evidence.

Supplier: stainless fittings manufacturer. Batch of 5 new items
  1. 01Submit
  2. 02Map
  3. 03Validate
  4. 04Review
  5. 05Approved

The supplier works in its own portal workspace, sees only its own items and submits a spreadsheet using its own column names.

In industrial operations

Onboarding a new line of fluid transfer fittings

A distributor of industrial hose and fittings adds a stainless camlock range from a new manufacturer. The manufacturer's spreadsheet uses abbreviations and omits several fields the distributor requires.

  1. The manufacturer is invited to a portal workspace with the distributor's fitting requirements.
  2. Its spreadsheet is mapped once; the mapping is saved for future submissions.
  3. Validation flags a weight without a unit, an abbreviated material and a missing country of origin.
  4. The category manager accepts the evidence-based corrections and returns the item missing country of origin, then approves the batch.

Result: Four items reach the catalog the same week with traceable values; the fifth returns with a precise request rather than an email thread.

Buyer FAQs

Questions evaluators ask

Do suppliers need to use our template?

No. Suppliers can submit in their own format; Autonera maps their columns to your attribute model and saves the mapping for future submissions.

Can suppliers see other suppliers' data?

No. Each supplier workspace is scoped to that supplier's items, requirements and submissions.

Does submitted data go straight into the catalog?

No. Submissions are mapped and validated first, exceptions are reviewed, and only approved items are released into product records.

What happens to items that fail validation?

Reviewers can accept a proposed correction or return the item to the supplier with a reason. Returned items are re-validated when resubmitted.

Can suppliers upload images and documents too?

Yes. Assets such as images, spec sheets and certificates can be submitted with item data and validated alongside it.
